FindMyPhotos.ai respects your privacy and is committed to protecting personal data.

This Privacy Policy explains how we collect, use, store, share, protect and delete personal data when you use FindMyPhotos.ai, including our website, dashboards, event gallery tools, photo upload tools, attendee gallery pages, optional selfie search feature, watermark removal/payment features, account features and related services.

FindMyPhotos.ai is an event photo discovery, gallery delivery and photo monetisation platform. We help photographers, event organisers and approved vendors upload event photos into online galleries so attendees can find, view and, where permitted, unlock or download photos.

Our core privacy position: we do not sell personal data, and we do not collect or store more personal data than we reasonably need to provide the platform, manage user profiles, operate event galleries, process payments, maintain security, comply with legal obligations and respond to support, privacy, removal or safety requests.

For data protection purposes, our role may vary depending on the activity. For account management, subscriptions, payments, platform security, selfie search, support, reports and platform administration, FindMyPhotos.ai may act as an independent data controller. For some gallery hosting and processing activities, FindMyPhotos.ai may process uploaded gallery content on behalf of photographers, event organisers, vendors or businesses who decide what photos to upload, who can access the gallery and how the gallery is used. For business or enterprise arrangements, a separate Data Processing Agreement may apply.

3. Who This Privacy Policy Applies To

• photographers, event organisers, vendors and agencies;
• account holders, admins and team members;
• attendees and gallery visitors;
• people using optional selfie search;
• people purchasing watermark removal, photo unlocks or downloads;
• people appearing in uploaded event photos, even if they do not have an account;
• people submitting privacy, report, removal, blur, copyright or support requests; and
• anyone else who uses or interacts with FindMyPhotos.ai.

4. Our Privacy Principles

• We only collect what we need to provide and protect the platform.
• We do not sell personal data.
• Selfie search is optional and never required for ordinary gallery browsing where manual access is available.
• Selfie search is limited to the specific event gallery selected by the user.
• Uploaded selfies and temporary matching data are deleted as soon as the search is complete, and in all cases within 12 hours.
• We do not build a permanent biometric database.
• We do not use uploaded selfies for advertising, unrelated profiling or unrelated analytics.
• We do not use uploaded selfies or event photos to train AI models unless separately agreed, clearly disclosed and lawful.
• People shown in photos can raise concerns through report, removal or blur request channels where available.
• Privacy-sensitive events, including school, children's, wedding, religious, VIP and private events, require stronger access controls and careful handling.

5. What FindMyPhotos.ai Does

FindMyPhotos.ai allows photographers, event organisers and approved vendors to create event galleries, upload photos, manage access settings, share gallery links/QR codes/PINs, allow attendees to browse photos, enable optional selfie search, display watermarked photos, support paid watermark removal, process downloads, manage subscriptions and view gallery or earnings information where available.

Attendees and gallery visitors may use the platform to access event galleries, browse photos manually, use optional selfie search, purchase watermark removal or photo unlocks, download unlocked photos, report photos and contact us about privacy or support issues.

6. Personal Data We Collect

We only collect personal data that is reasonably necessary to operate FindMyPhotos.ai, provide our services, protect the platform, comply with legal obligations and respond to user requests. The personal data collected depends on how you use the platform.

6.1 Account and Profile Data

name, email address, password or authentication details, business name (where applicable), role (such as photographer, organiser, vendor, admin or attendee), profile photo (if uploaded), phone number (if required for support, security, billing or business account setup), account preferences, subscription plan, billing status, storage usage, account creation date, login activity, support communications.

6.2 Photographer, Organiser, Vendor and Business Data

business name, business contact details, billing contact details, account owner details, team member details (where team access is enabled), subscription information, payment and invoice references, payout details (where payouts are supported), tax or compliance information (where required), gallery settings, event settings, storage usage, earnings records, support and admin communications.

6.3 Event and Gallery Data

event name, event type, event date, event location (if provided), gallery title and description, gallery owner details, access settings, event PIN or code settings, QR code or gallery link information, upload dates, photo counts, storage usage, watermark settings, download settings, pricing settings, gallery status.

6.4 Uploaded Photo Data

faces and visual likenesses, clothing and appearance, event attendance, group photos, location or venue context, time and event context, visible names, badges, signage or uniforms, image metadata (where retained), other visible identifying information.

6.5 Optional Selfie Search Data

the selfie you upload, facial image data from the selfie, temporary facial templates or embeddings, temporary matching data, search result data, technical logs needed to run the search, consent logs, deletion logs.

6.6 Payment, Subscription and Transaction Data

selected plan, billing cycle, subscription status, free trial status, payment status, invoice reference, transaction reference, photo unlock reference, event or gallery reference, payment date, refund status, chargeback status, platform fee records, payout records (where relevant), licence type (such as personal use).

6.7 Gallery Access and Usage Data

gallery link usage, event PIN or code usage, QR code access, session data, photo views, download activity, unlock activity, search activity, consent activity, report activity, device and browser information, IP address, approximate location derived from IP address, security and fraud prevention logs.

6.8 Reports, Removal Requests and Blur Requests

your name, email address, relationship to the photo or event, event or gallery reference, photo reference, reason for request, supporting information, communications with you, internal review notes, action taken, admin decision records, audit logs.

6.9 Technical, Security and Device Data

IP address, device type, browser type, operating system, session identifiers, login timestamps, security logs, error logs, cookie identifiers, fraud prevention signals, upload/download logs, system activity needed to keep the platform secure.

7. Data We Do Not Sell or Use for Unrelated Purposes

• We do not sell personal data.
• We do not sell uploaded selfies, biometric matching data, profile data, payment data, attendee data, gallery access data or uploaded photos to advertisers, data brokers or unrelated third parties.
• We do not use uploaded selfies for advertising, unrelated profiling or unrelated analytics.
• We do not use uploaded selfies to train AI models unless separately agreed, clearly disclosed, lawful and supported by the necessary consent or legal basis.
• We do not use uploaded event photos to train unrelated AI models unless separately agreed, clearly disclosed, lawful and permitted under the applicable account, gallery or enterprise terms.

8. How We Use Personal Data

• upload, process, display, watermark, store and deliver photos;
• allow attendees to browse galleries and use optional selfie search;
• process explicit consent for selfie search and delete temporary selfie-search data;

• calculate storage usage, earnings and platform fees;
• process payouts where supported;
• provide customer support and service notifications;
• respond to reports, removal requests and privacy concerns;
• investigate misuse, fraud, abuse or security risks;
• comply with legal obligations and enforce our Terms and Conditions;
• improve platform reliability, usability and security; and
• maintain audit, security and compliance records.

9. Optional Selfie Search and Biometric Data

Selfie search allows you to upload a selfie so the platform can compare it against photos in a selected event gallery and attempt to find photos that may include you.

Selfie search may involve temporary processing of facial image data and biometric data. Where biometric data is processed for the purpose of identifying you in event photos, this may be treated as special category data under applicable data protection law.

Before using selfie search, you may be asked to give explicit consent. The consent wording may say: "I explicitly consent to FindMyPhotos.ai processing my selfie and facial biometric data for the sole purpose of finding photos of me in this event gallery. I understand this is optional and that I can search manually instead."

You can refuse to use selfie search and browse the gallery manually instead, where you are otherwise authorised to access the gallery. Selfie search is only used for the selected event gallery. It is not used to identify you across unrelated galleries, unrelated events or unrelated services.

10. Selfie Search Deletion

Uploaded selfies and temporary biometric matching data are deleted as soon as the selfie search is complete, and in all cases within 12 hours. This includes the uploaded selfie, temporary facial templates, temporary embeddings, temporary search cache files, temporary matching artefacts, and temporary technical data created specifically for the search.

We may retain limited consent logs, deletion logs, event references and security logs where needed to evidence consent, prove deletion, prevent misuse, respond to legal requests or protect the platform. These logs should not include the selfie itself once deleted.

11. Manual Gallery Access Alternative

Selfie search is not mandatory. If you do not want to upload a selfie, you may use manual gallery access methods where available, including browsing the gallery, using an event link, using a PIN or code, using QR code access, using categories or albums, using direct share links or requesting organiser-approved access.

12. Uploaded Event Photos and People Appearing in Photos

Uploaded event photos may include people who have not created a FindMyPhotos.ai account. If you appear in a photo uploaded to the platform, we may process your image as part of hosting, displaying, searching, watermarking, downloading, reporting or administering that gallery.

Photographers, organisers and vendors are responsible for ensuring they have the appropriate rights, permissions, lawful basis, consent or authority to upload and share photos through the platform. If you appear in a photo and have a concern, you can contact us or use available reporting tools to request review, removal, restriction or blur where available.

13. Privacy-Sensitive Events

Some event galleries may involve more privacy-sensitive images, including weddings, school events, children's events, religious events, VIP events, private corporate events, private family events, closed community events and other restricted or sensitive events.

For privacy-sensitive events, stronger access settings may be recommended, required or automatically enabled, such as PIN codes, restricted links, invite-only access or organiser-approved access. Gallery owners are responsible for selecting appropriate access settings and confirming they have the necessary rights, permissions, lawful basis or authority before uploading and sharing photos.

We may restrict, hide, suspend or remove galleries where we identify privacy, safeguarding, misuse, legal or platform integrity concerns.

14. School Events and Children's Photos

Where a gallery contains images of children or relates to a school, nursery, youth group, children's sports event or similar setting, the gallery owner must take extra care.

We may apply stricter default access controls to these galleries, such as event PINs, restricted links or organiser-approved access. We may process reports, removal requests, parental or guardian concerns, school requests and safeguarding-related concerns to review whether a photo or gallery should remain available.

We do not knowingly allow children to create commercial photographer, organiser or vendor accounts. Where children access gallery features, this should be supervised or authorised by a parent, guardian, school, organiser or responsible adult where required.

15. Watermark Removal, Paid Downloads and Transaction Records

Paid watermark removal is automatically enabled by default on event galleries and campaigns, subject to plan rules, pricing rules, legal restrictions, admin controls, payment availability and compliance settings.

For Free Trial, Starter and Professional plans, watermark removal pricing is controlled by the platform. For Business and Enterprise plans, the gallery owner may be allowed to set their own watermark removal prices, subject to platform rules, minimum/maximum pricing, payment provider rules and applicable law.

Watermark purchase options may include packages such as one photo, five photos, fifteen photos, full event unlock or other packages made available at checkout.

When a watermark is removed or a download is purchased, we may keep transaction and licence records, including event reference, photo reference, buyer/session/account reference, licence type, payment status, refund status, chargeback status, download status, timestamp and related audit information. These records are used for payment processing, licence records, refunds, disputes, fraud prevention, earnings calculations, tax/accounting records and platform administration.

16. Legal Bases for Processing

Where we rely on legitimate interests, we balance our interests against your rights and freedoms. Where we rely on consent, you may withdraw consent where applicable. Withdrawing consent does not affect processing already carried out before withdrawal.

17. Who We Share Personal Data With

We do not sell personal data. We may share limited personal data with trusted service providers where necessary to operate the platform, including cloud hosting providers, cloud storage providers, payment processors, subscription billing tools, email and notification providers, analytics providers, customer support tools, fraud prevention services, AI or image processing providers, content delivery networks, professional advisers, law enforcement/regulators where required, and photographers/organisers/vendors where needed to manage galleries, reports, payments, disputes or access rights.

We do not share uploaded selfies or temporary biometric matching data with photographers, organisers, vendors, advertisers or unrelated third parties. We require service providers to process data only as needed to provide their services, protect the platform, comply with legal obligations or follow our instructions where applicable.

18. International Data Transfers

FindMyPhotos.ai may be operated, supported, hosted or accessed from different countries. Your personal data may be stored, processed or accessed outside the United Kingdom or European Economic Area, including where our technical team, support team, cloud providers, payment providers or service providers are located.

Where international transfers require safeguards, we aim to use appropriate legal mechanisms, such as contractual protections, approved transfer clauses, adequacy arrangements or other legally recognised safeguards.

19. How Long We Keep Personal Data

We keep personal data only for as long as reasonably necessary for the purposes described in this Privacy Policy, unless a longer period is required for legal, tax, accounting, dispute, security, fraud prevention or compliance reasons.

If you appear in an uploaded photo but do not have a FindMyPhotos.ai account, you may still contact us to raise a privacy concern or request review. Your rights may be subject to legal limits.

21. Reports, Removal and Blur Requests

If you appear in a photo and believe it should not be available, or if you believe a photo breaches privacy, safety, copyright, safeguarding or platform rules, you may submit a report, removal request or blur request where available.

We may ask for information needed to review the request, such as your name and contact details, event or gallery reference, photo reference, reason for the request, relationship to the photo, supporting information and any other information reasonably needed to assess the issue.

After review, we may temporarily hide the photo, restrict access, disable downloads, disable watermark removal, blur part of the image where supported, remove the image, contact the gallery owner, request more information, reject the request where it is not valid or take other action under our Terms and Conditions.

22. Cookies and Similar Technologies

We may use cookies and similar technologies to operate the platform, protect accounts, remember settings, maintain sessions, analyse usage, improve performance and support marketing where permitted.

Where required, we will ask for consent before using non-essential cookies. You can manage cookies through your browser settings or any cookie controls provided on the platform.

23. Marketing Communications

We may send essential service messages about your account, galleries, payments, security, downloads, reports or support requests. We may also send marketing communications about FindMyPhotos.ai where permitted by law. You can unsubscribe from marketing emails at any time.

24. Security

No online platform can guarantee absolute security. You are responsible for keeping your account login details secure and notifying us if you suspect unauthorised access.

25. Data Breaches

If we become aware of a personal data breach, we will assess the risk and take appropriate action. Where required by law, we will notify affected individuals, regulators or other relevant parties.

26. Admin Access and Internal Controls

Authorised team members may access limited account, gallery, payment, photo, report and technical information where necessary to provide support, investigate reports, respond to privacy requests, process refunds, manage chargebacks, enforce our Terms, protect users, prevent fraud, maintain security, fix technical issues or comply with legal obligations. Admin actions may be logged for accountability, security and audit purposes.

27. Third-Party Links and Services

The platform may contain links to third-party websites, payment pages, social media platforms or external services. We are not responsible for the privacy practices of third-party websites or services that we do not control. You should review the privacy policies of those third parties before using them.

28. Data Relating to Children

FindMyPhotos.ai is not designed for children to create commercial photographer, organiser or vendor accounts. However, children may appear in uploaded event photos, especially in school, sports, family, religious, community or private events.

Where children's photos are uploaded, the gallery owner is responsible for ensuring they have the necessary rights, permissions, lawful basis, consent or authority to upload and share those images. 29. Automated Processing and AI

We may use AI, computer vision, image processing or automated systems to support platform features, including selfie search, image matching, gallery organisation, photo discovery, security checks, moderation support, platform analytics and technical optimisation.

AI results may be inaccurate, incomplete or unsuitable in some circumstances. We do not use AI search results as the sole basis for legal, safeguarding or significant decisions about individuals without appropriate human review where required.

30. Business and Enterprise Customers

Business and enterprise customers may have additional data protection terms, security terms, service terms or Data Processing Agreements. Where a separate written agreement applies, that agreement may explain additional roles, responsibilities, retention periods, security measures, transfer safeguards and processing instructions.

31. Complaints
